When Should a Property Inventory Be Carried Out?

Ideally, a property inventory should be completed shortly before the tenant moves into the property, when the property is ready for occupation.

The timing matters because the inventory should accurately represent the condition in which the property is being handed over.

When is the best time?

Cleaning has been completed

Repairs have been carried out

Furniture has been positioned

The property is ready for the tenant

Any relevant works have been completed

If an inventory is carried out too early, the condition of the property may change before the tenant actually moves in.

What about the check-in?

The inventory and check-in are closely connected but serve different purposes.

The inventory records the condition and contents of the property. The check-in service records the handover and confirms the condition when the tenant takes possession.

Our existing article Preparing Your Property for a Smooth Check-In Inspection provides a useful pre-check-in checklist.

What if the inventory is completed after the tenant moves in?

This is far from ideal. Once a tenant has moved into a property, the condition may already have changed.

What happens at the end?

At the end of the tenancy, the check-out report should ideally be compared with the original inventory and check-in documentation.

Our existing article Check-Out Reports: How to Avoid Deposit Disputes the Professional Way explains how this comparison works.

Why timing matters for evidence

The strength of an inventory comes from accurately recording the starting point.

Propertymark guidance emphasises the importance of detailed, professional inventory reporting when dealing with deposit disputes. The purpose is to provide objective evidence rather than relying on memory or opinion.

Final thoughts

The best time to arrange an inventory is before the tenant moves in and once the property is ready for occupation.
